Privacy notice
This notice covers the booking form and waiting list for the Halloween Party on Friday 30 October 2026. It is written in plain language on purpose — you are handing over your children’s names and what they cannot eat, and you should be able to read exactly what happens to that.

What we collect, and why
- Your name, email address and mobile number
- To hold your booking, send you your payment reference, and tell you when your payment has been received. Our lawful basis is that we need it to take the steps you have asked for before the contract for your tickets is made, and then to perform it.
- How many adults and children are coming, and the amount due
- To count the places — the room holds 100 people and every attendee takes one — and to match your bank transfer to your booking using your HAL reference. Same lawful basis.
- Your children’s first names and ages
- So the organiser knows who is expected, and so the food and the entertainer suit the ages in the room. Same lawful basis. If you would rather not give names, the booking still works.
- Food allergies and dietary requirements for the children receiving food
- This is health information about a named child, so it gets stricter treatment than everything else here. We use it only to keep your child safe around the food that is included with the ticket. We rely on your explicit consent, given when you choose to type it in — you can withdraw it at any time by contacting us, though we then cannot take that allergy into account on the night. It is never published, never put in an email subject line, and never shared beyond the organiser and whoever prepares the food.
- Waiting list entries
- Name, email, mobile and how many places you need — nothing about your children, because there is no reason to hold that until there is a place to go with it. We use it only to contact you if a place comes free.
Who can see it
The organiser, through an admin area that requires a username and password. There is no public link, no shared spreadsheet and no page on this site that will show anyone else’s booking. The database refuses to return a booking to anyone who is not signed in as the organiser.
Who else processes it
- Vercel — hosts this website. It handles the request and keeps ordinary server logs, which include your IP address.
- Supabase — the database and the organiser’s login. Everything described above is stored there.
These providers may store or process data outside the UK; their standard contractual terms cover that transfer. The fonts on this site are served from this site, so no font provider sees your visit. There is no analytics, no advertising, and no social widget on this site.
How long we keep it
- Children’s names, ages and dietary information are erased within 14 days of the party — by 13 November 2026.
- Your name, email and mobile number are erased within 60 days of the party — by 29 December 2026 — once the organiser has finished matching up payments.
- The waiting list is deleted after the party.
- After that, all that remains is an anonymous line: a reference, a head count and an amount, with no name attached to it.
Cookies
This site sets no tracking or analytics cookies, so there is no cookie banner to click through. The only cookie it can set is the one that keeps the organiser signed in to the admin area, and that is strictly necessary for the admin area to work.
Your rights
You can ask us for a copy of the information we hold about you or your children, ask us to correct it, ask us to delete it, ask us to restrict what we do with it, or object to our using it. Where we rely on your consent — the allergy information — you can withdraw that at any time. We will respond within one month.
Providing your name, email, mobile and the number of people coming is required to make a booking; the rest of the form is optional.
Complaints
If you are unhappy with how your information has been handled, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.
Changes to this notice
This notice was last updated on 20 September 2026. If anything changes before the party, the updated version appears here.
